Please read these Terms and Conditions carefully before using the Work-Flow website (work-flow.org.uk) or the Work-Flow desktop application. By accessing the website or installing and using the app, you agree to be bound by these terms. If you do not agree, please do not use the service.

1. About the Service

Work-Flow is a Windows desktop application designed to help sole traders and small service businesses manage jobs, quotes, invoices, and customer records. The service is operated by Work-Flow Job Management Systems, a trading name based in the United Kingdom.

2. Free Trial

A 30-day free trial is available to all new users. No payment details are required to start the trial. During the trial you have access to the full feature set of the app.

After the 30-day trial period, the app continues to operate as the Free Plan, which includes core job management features with limitations on advanced functionality. There is no obligation to subscribe to Premium.

3. Premium Subscription

The Premium plan is available at £15.99 per month (inclusive of any applicable taxes). Premium unlocks all advanced features including AI Buddy (powered by Groq) and Google Calendar synchronisation.

Subscriptions are billed monthly on a recurring basis and are processed through PayPal. By subscribing you authorise PayPal to charge your payment method automatically each month until you cancel.

We reserve the right to change the subscription price with at least 30 days' notice. Any price change will not affect your current billing period — the new price applies from the next renewal after the notice period.

4. Cancellation

You may cancel your Premium subscription at any time through your PayPal account: Settings > Payments > Manage Automatic Payments.

Cancellation takes effect at the end of the current billing period. You retain Premium access until that date. We do not offer partial refunds for unused time within a billing period.

5. Refunds

Under the UK Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, you have a right to cancel a digital service contract within 14 days of purchase. This right may be waived if the service has already been accessed.

If you have a problem with your subscription or believe a charge was made in error, contact us at workflow.org.uk@gmail.com within 30 days of the charge and we will review your request. We aim to resolve all billing queries fairly and promptly.

6. Licence

When you download and use the Work-Flow app, we grant you a personal, non-exclusive, non-transferable licence to install and use the software on your own Windows device(s) for your own personal or business purposes.

You may not:

  • Redistribute, resell, or sublicence the software to any third party
  • Reverse engineer, decompile, or attempt to extract the source code of the app
  • Remove or alter any copyright or proprietary notices
  • Use the app on behalf of multiple businesses under a single licence

7. Acceptable Use

You agree to use the Work-Flow app and website only for lawful purposes. You must not:

  • Use the service to store, process, or transmit unlawful content
  • Attempt to bypass, circumvent, or defeat the licensing system
  • Interfere with the operation of the website or licence server
  • Use automated tools to access the website in a way that could cause damage or excessive load

8. Your Data

All job records, customer data, and business information you create within the Work-Flow app are stored locally on your own device. We do not have access to your business records.

You are solely responsible for backing up your app data. We are not liable for any data loss resulting from device failure, accidental deletion, or software errors.

9. Third-Party Services

Work-Flow integrates with or uses the following third-party services. Their own terms and privacy policies apply:

  • PayPal — used to process Premium subscription payments
  • Google Calendar — available to Premium users for job scheduling synchronisation
  • Groq AI — powers the AI Buddy feature available to Premium users
  • Render — hosts our licence verification server (based in the United States)

We are not responsible for the availability, accuracy, or actions of any third-party service. Changes to third-party APIs may occasionally affect feature availability.

10. Intellectual Property

All intellectual property rights in the Work-Flow app, website, and associated content — including the "Work-Flow" name, logo, design, and software code — are owned by Work-Flow Job Management Systems. Nothing in these terms transfers any IP rights to you.

11. Disclaimer of Warranties

The Work-Flow app is provided "as is" without warranty of any kind, express or implied. We do not warrant that the app will be uninterrupted, error-free, or that it will meet your specific business requirements.

You are responsible for ensuring that the app is suitable for your intended use, and for the accuracy and legality of records you create within it.

12. Limitation of Liability

To the maximum extent permitted by UK law, Work-Flow Job Management Systems shall not be liable for any indirect, incidental, consequential, or special loss or damage arising out of or in connection with your use of the app or website, including loss of data, loss of revenue, or loss of business opportunity.

Our total aggregate liability to you in connection with these terms shall not exceed the total amount paid by you to us in the 12-month period preceding the event giving rise to the claim.

Nothing in these terms limits liability for death or personal injury caused by negligence, fraud, or any other matter that cannot be limited by law.

13. Changes to These Terms

We may update these Terms and Conditions from time to time. The "Last updated" date at the top of this page will reflect the most recent revision. For significant changes, we will post a notice on the website. Continued use of the app or website after any change constitutes acceptance of the revised terms.

14. Governing Law

These Terms and Conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes arising from these terms or your use of the service shall be subject to the exclusive jurisdiction of the courts of England and Wales.
